“How much will my move cost?” “Could you tell me the price for moving?” These are the most common questions from clients who want to move but cannot imagine how a moving company should respond. It’s like walking into a department store and asking at the information desk, “How much will my shopping cost?” No one knows what you feel like buying or what you want. And the same applies to moving.
Most moving companies have approximate pricing, typically based on hourly rates for one, two, three, or four workers, plus the cost of the moving truck and the mileage. Therefore, anyone can roughly estimate the price. Two hours of work, this many workers, this many kilometers cost this much. Ten hours of work, this many workers, this many kilometers cost that much. It’s, of course, an approximate cost, but it provides the best estimate that moving companies can offer for an initial idea.
However, if someone writes, “How much will it cost?” most true professionals won’t respond to this question because they cannot provide a relevant answer. They have no information about what the client requires. How can they estimate the price without any details? Not to mention emails or messages that only say, “I’m interested in moving and want a price.” That’s a real puzzle.
Anyone who responds to such a question with a price is either foolish or an inexperienced mover. A move might take two hours, but it could also last several days. If the moving company has no clear information about what needs to be moved, from where, to where, and under what conditions, they cannot even provide an approximate, let alone an exact, cost for the move.
Clients often claim it’s just a small move that will take an hour and, therefore, will be inexpensive. Of course, everyone wants to save money. However, situations arise where the move takes ten hours, and the client is surprised by how long it took and how much it cost. But they don’t realize that they didn’t inform anyone about moving from the fifth floor without an elevator to the fourth floor without an elevator. That they wanted all the furniture dismantled and wrapped or that they wanted to move a piano weighing 250 kg. Few people understand that such a move requires more workers and more time. Moving company employees are not robots, and they genuinely have to carry everything up and down the stairs because no robot can do that.
Standard moving conditions worldwide typically involve moving items weighing up to 100 kg under standard conditions: a straight corridor, ordinary stairs, regular sidewalks, no obstacles. Then there’s the scenario where the stairs are narrow or spiral, the sidewalk is under repair, and the truck has to park 500 meters from the loading area. At that point, the client starts questioning the previously agreed low price offered by the company. And that’s simply because the company lacked precise and detailed information about the moving environment. Misunderstandings arise immediately. But whose fault is it?
To get the lowest possible moving quote, clients often say they’re moving just six pieces of furniture, a TV, a refrigerator, and a few personal items. However, the reality often turns out to be sixteen pieces of furniture, a TV, a refrigerator, and two fully loaded trucks of personal belongings, including plants and a basement the client forgot about. The price then triples. Where did it go wrong?
To avoid such misunderstandings, both parties must communicate and exchange precise and truthful information. This includes what exactly will be moved, what needs to be dismantled or taken apart, whether the items need to be wrapped for protection, or whether the client will handle that themselves. What’s the access like, where and how parking is available, what floor is involved, whether there’s an elevator, and where the items are being moved. Additionally, how the client wants the items placed, assembled, or connected at the new location. These are all crucial details to obtain accurate quotes from any professional company you approach with your request for moving services.
Movers are not just dumb and strong people, as the stereotype used to suggest. They are intelligent and hardworking individuals with a talent for organization and attention to detail. Based on their experience and knowledge, they can always tell a client how much their move will cost, but only if provided with accurate information. If the client is misleading or makes mistakes in the details, the moving technician cannot be blamed. They worked according to the instructions they received. This applies even if they conduct an on-site inspection but are only given half the necessary details by the customer. Or if the client provides a written list of items to be moved, but on moving day, it turns out there are 50 more items than listed. Clients want a fixed and accurate price, yet suddenly have “just a few extra things.” These few “extras” are often things they forgot or deemed unimportant, but even these items take time to move and occupy additional space in the truck.
For both parties to always be satisfied—whether with the price or the service—the moving technician must carefully listen to the client, be as accommodating as possible, and, conversely, the client must provide accurate information to the moving company and appreciate their effort and service.
