On Monday morning, a truly unusual atmosphere was hanging in the halls of our office. It wasn’t the usual pre-Christmas nervousness, nor the post-election euphoria. Today, we are all moving. After many years spent in these old, but cozy office spaces, our workplace is moving to a modern building on the other side of the city.
For some, it’s finally a change for the better. New, more spacious offices, modern equipment, air conditioning, convenient parking, and nearby restaurants. All this promises more comfortable, pleasant, and efficient work. For others, like us older ones, it’s more of a sad event. After all, we’ve spent so many years here, experienced lots of fun and worries. These walls remember our first work successes, career developments, but also failures. And now we really have to leave them?
My colleague from the registry looks nostalgically at the long-standing photographs decorating the walls. She sadly gazes at the bulletin board where we posted messages every day and wrote friendly remarks about our work. We all sadly look out of the windows to imprint the last views of the surroundings of our office into our memory, from which we simply have to move out. It will be something, it will be chaos. And what about our clients.
Logistically, moving an office is incredibly, truly incredibly demanding. Not only for us civil servants but also for the moving company, which has to ensure the entire process and organize everything in detail. Everything has to be planned and organized down to the smallest details. Furniture, technology, documents, binders, personal items of employees, full moving boxes. Everything must be carefully packed, labeled, loaded, transported, unloaded, and rearranged at the new location as needed. And all this in a way that minimizes disruption to the office operations.
We’ve been preparing for the entire moving process three months in advance. We had to secure a truly professional moving company that not only has sufficient capacity in terms of workers but also sufficient capacity in terms of vehicles, packing materials, and moving boxes. We had to order new equipment and plan the office layout. And of course, we had to inform the general public about our address change and temporary operating hours restrictions.
The actual move took place in several stages, with the entire organization and synchronization being handled by the gentlemen from Extra Services. Thank goodness for that. First, the archives and storage with all the documentation were moved. Then followed the furniture, technology, plants, and of course, boxes with our personal items. And then came the chaos about who wants what, where, and how we want it. But again, it only took a few command orders from the movers who really knew what they were doing.
Moving an office is not only a logistical challenge but also a psychological burden for all employees involved, and it’s not suitable for someone sick. People are afraid of the unknown, afraid they won’t feel comfortable in the new environment. They fear that their work habits will change and that they’ll have to face unfamiliar challenges they don’t understand. Moving an office is simply a new, unknown chapter. For some, with a bittersweet taste, for others with hope for better prospects. But one thing is certain. We all managed it, of course, thanks to the professional movers, and we believe that we’ll settle in comfortably and quickly get used to our new office workspaces.
